Prom is bought by a student committee working to a ticket price set months earlier, usually with a teacher approving the spend. The quantity is large enough for decent unit pricing and the date is immovable, which makes it one of the more straightforward school orders — provided somebody starts early.
The favour is part of the ticket
Students have paid to be there, so the take-home item reads as something they bought rather than something they were given. That raises the bar: a printed cup or a photo frame with the year on it works, a generic pen does not. Drinkware and anything that holds a photo consistently outperform.
Work to the theme, and confirm it
Committees change the theme later than they think they will. Lock the artwork with whoever actually signs off — usually the faculty adviser, not the student chair — before anything goes to production, because a reprint at this quantity is not a small cost.
Order in winter for a spring dance
Prom season concentrates a huge amount of decorating work into a few weeks, and suppliers run hot. A March order for a May dance is comfortable; an April one is a rush charge waiting to happen. The date is known in September — use that.
