The decision to make first
Before anything else, decide between reusable and permanent, because it changes the economics completely.
Reusable badges have a printed frame carrying your logo and a window that takes a paper or plastic insert with the name. When someone leaves, you print a new insert for a few cents and reissue the frame. For any operation with real turnover – hospitality, retail, healthcare, seasonal staffing – this is dramatically cheaper over two years.
Permanent badges have the name printed or engraved directly into the badge. They look considerably better, they feel like a real credential rather than an office supply, and every departure means buying a new badge. For a stable professional team, executives, or anyone client-facing, the appearance is worth it.
Pin versus magnet
This is the complaint you will hear about badges, so get it right. Pins put two holes in the garment every shift. On a knit polo or a silk blouse that is real damage, and staff quietly stop wearing the badge.
Magnetic backings hold through the fabric with no piercing. They are the better choice for anything worn over good clothing. Two cautions: magnets are strong enough to matter around pacemakers, so ask before standardizing on them, and they will slide on very heavy fabrics like a thick jacket.
Swivel and alligator clips are the third option – no holes, no magnets, but they need a pocket or placket to grip and will not attach to a plain knit.
Getting the names right
Names are the single most common error in this category and the one thing that cannot be fixed once printed. Send the final list as a spreadsheet with exact spelling, accents and preferred forms – not the HR export. People care a great deal about their own name, and a misspelled badge is worse than no badge.
Order 10 to 15 percent spares with the logo but no name. New hires arrive faster than reorders.
